Parents Guide to Student Move In Day

Moving to university is a major milestone for both students and parents. Whether your child is moving away from home for the first time or relocating to Dundee to continue their studies, move in day can feel exciting, emotional and sometimes a little overwhelming.

At Hub Students Dundee, we aim to make the process of moving into student accommodation as simple and stress free as possible. This guide covers everything parents and students need to know before arriving.

Before Student Move In Day

There are a few important steps students must complete before arriving at the accommodation.

First Rent Instalment

Students must pay their first rent instalment before checking into their accommodation.

Unfortunately, students cannot move in until this payment has been received. However, communication is important and students experiencing issues are encouraged to contact the accommodation team to discuss available options.

Tenancy Agreement and Booking Confirmation

Students should ensure:

  • Their tenancy agreement has been completed
  • Booking details have been confirmed
  • Payment arrangements are in place
  • Move in emails have been checked carefully

The accommodation team will send move in guidance and arrival instructions by email before the tenancy start date.

Booking a Move In Slot

To help arrivals run smoothly, students will be asked to book a move in slot before arrival.

Arrival Times

The accommodation team will contact students by email before move in day with instructions on how to arrange an arrival time.

We recommend keeping an eye on your inbox as all move in communication is sent electronically.

What Documents Should Students Bring?

Students will need to bring suitable identification when checking into their accommodation and collecting keys.

Accepted Forms of ID

Students should ideally bring one of the following:

  • Passport
  • Driving licence
  • Photo student ID card

Having identification ready on arrival helps speed up the check in process.

Arriving at Hub Students Dundee

Move in day is designed to help students settle into their new accommodation quickly and comfortably.

What Happens on Arrival?

Students will be welcomed by the accommodation team, who will:

  • Check booking details
  • Confirm identification
  • Issue room keys
  • Provide a short induction
  • Answer any questions about the accommodation

Students may also meet:

  • On site maintenance staff
  • Move in volunteers
  • Members of the wider accommodation team

The maintenance team will also be available should any minor room issues require attention during move in.

Can You Unload a Car During Move In?

Yes. Hub Students Dundee has a small car park accessible via Blinshall Street which can be used for unloading belongings during arrival.

Move In Parking Guidance

  • Short term unloading is permitted
  • We recommend a 15 to 20 minute drop off period
  • Students should collect keys and complete their induction before unloading
  • Vehicles should then be moved to the nearby council car park located approximately 100 yards away
  • We do not recommend unloading directly from the council car park due to the busy road nearby.

Arriving Outside Office Hours

We understand that travel plans don’t always go exactly to schedule.

Out of Hours Arrivals

For the first two weeks of arrivals, on site security staff will be available outside normal office hours to help students collect keys.

Students arriving late should contact the accommodation team in advance so arrangements can be made.

Students will still need to:

  • Provide identification
  • Return the following day to meet the accommodation team fully

After the initial move in period, students arriving outside office hours may need to arrange overnight accommodation until the office reopens.

Students should remember essentials such as:

  • Important documents and ID
  • Clothing and shoes
  • Bedding and towels
  • Toiletries
  • Study equipment
  • Laptop and chargers
  • Kitchen essentials
  • Medication and personal items

Many students also find it helpful to bring familiar items from home to help their room feel more comfortable during the first few weeks at university.

Can Students Move Out Early?

Students can leave accommodation before the end of their tenancy if required. However, rent payments will still apply for the full agreed tenancy period.

Students and parents should refer to the cancellation policy and tenancy agreement for further details regarding early departures and contractual responsibilities.
